Privacy Policy
Vocab Companion keeps the words you save and helps you learn them. To do that we store a small amount of data about you. This page says what, why, where, and for how long.
Who we are
Vocab Companion is run by Hopin.it sp. z o.o., a company registered in Poland. We are the controller of your personal data. Contact: [email protected].
What we collect

We don’t use advertising, third-party analytics or tracking tools, and we don’t sell or share your data for marketing.
AI explanations
When a card needs an explanation, our server sends the phrase, the context you added and your language pair to OpenAI, which generates the explanation. Your email and name are not sent. OpenAI does not use data sent through its API to train its models by default, and may keep it for a limited time to detect abuse.
Don’t put private information — names, addresses, passwords — into a phrase or its context.
Where your data is stored
- On your devices, in the app’s local database. Sign-in tokens are kept in the system Keychain.
- On our servers at Hetzner, in data centres in the European Union.
- Text sent for explanations is processed by OpenAI, which may process it outside the European Union.
How long we keep it
- Your account and cards: for as long as you have an account.
- Cards you delete: removed from our database 30 days after deletion, so every device has time to catch up.
- Backups: kept for 14 days, then overwritten.
- Server logs: kept for a short period for security, then deleted.
Deleting your account
Email [email protected] from the address linked to your account and we’ll delete your account and all its cards within 30 days. Copies in backups disappear within 14 days after that. Deleting the app alone does not delete your account.
Subscriptions
Purchases are handled by Apple. We receive a confirmation of your subscription status, never your payment details.
Your rights
Under the GDPR you can ask to access, correct, export or delete your data, or object to or restrict how we use it. Write to us and we’ll answer within 30 days. You can also complain to the Polish supervisory authority, the President of the Personal Data Protection Office (UODO), or to the authority where you live.
We process your data to provide the service you signed up for (performance of a contract) and to keep it secure (legitimate interest).
Children
Vocab Companion is not directed at children under 16, and we don’t knowingly collect their data.
Changes
If we change this policy in a way that matters, we’ll update the date above and tell you in the app.
